The Workspace is a trading name of Artura Studio Limited (NZBN: 9429052404160). We're a boutique co-working space based in Whanganui, New Zealand, and this policy explains what personal information we collect, how we use it, and your rights under the Privacy Act 2020 (NZ).
What information we collect
When you enquire or sign up — Your name, email address, and phone number, your business name and any other details you share with us, and payment information — handled directly by Stripe or Xero (we don't store card details ourselves).
When you use our website — Standard usage data such as pages visited, time on site, and browser type, along with your IP address and device information collected automatically, and cookie data — see the cookies section below.
How we use your information
We use your personal information to manage your membership or enquiry, process payments and send invoices via Stripe and Xero, communicate with you about your membership and any relevant updates, and improve our website and service based on how people use it.
We'll only contact you for marketing purposes if you've opted in, and you can unsubscribe at any time by replying to any email or contacting us directly.
Who we share your information with
We don't sell your data or share it with third parties for their own marketing purposes. The only people who may access your information are our team members who need it to manage memberships and communicate with you, and the following services:
Zoho — our booking and membership management platform, used to schedule spaces and manage your account. Their privacy policy is at zoho.com/privacy.html.
Stripe — our payment processor for membership billing. Stripe handles all card transactions and complies with PCI-DSS security standards. Their privacy policy is at stripe.com/privacy.
Xero — our accounting platform, used to manage invoices and financial records. Their privacy policy is at xero.com/nz/about/terms/privacy.
Google Analytics — we use this to understand how our website is used. Data is anonymised and aggregated. You can opt out using the Google Analytics opt-out browser add-on.
Cookies
Our website uses cookies to function properly and improve your experience. You can manage or disable cookies through your browser settings, though some parts of the site may not work as expected if you do.
How long we keep your data
We retain your personal information only for as long as needed to provide our services and meet our legal obligations — generally no longer than seven years for financial records, in line with NZ tax requirements. If you close your membership, we'll remove your active data and retain only what we're legally required to keep.
Your rights
Under the Privacy Act 2020, you have the right to request access to the personal information we hold about you, ask us to correct anything that's inaccurate or out of date, and ask us to delete your information where we're not legally required to retain it. Data security
We take reasonable steps to protect your information from loss, unauthorised access, or misuse. Payment processing is handled entirely by Stripe and Xero, both of which maintain high security standards. No system is entirely risk-free, and we encourage you to take care with any personal information you share online.
